Using the Invert if Negative Option for Charts in PowerPoint 2013 for Windows

Highlight negative values in a chart in PowerPoint 2013 for Windows. This result can be achieved by using the Invert if Negative option.

If your chart has negative values, then PowerPoint uses the same fill color for negative values as as you can see in the sample chart within Figure 1, below. Fortunately, you override this nature with the Invert if Negative option that we mentioned towards the end of the Changing Fills and Outlines of Chart Elements tutorial.

Where is the Invert if Negative Option?

The Invert if Negative option is only enabled for column, bar, cylinder, cone and pyramid chart types. The pie and area chart types do not have this option as they don't plot negative figures.

To use the Invert if Negative option you must have a chart that has negative values, as shown in Figure 1, above. Then, follow these steps to use the Invert if Negative option in PowerPoint 2013 for Windows:

  1. Select the data series in PowerPoint 2013 for Windows by clicking once on any column, or within the chart elements drop-down list. Right-click to bring up the contextual menu, as shown in Figure 2, below. Within this contextual menu, select the Format Data Series option (refer to Figure 2) again. If you do not see the Format Data Series option in the contextual menu, you may have right-clicked on another chart element. Make sure you then deselect everything in the chart, and then right-click on any series (for example, a single column within a column chart).

  3. This action will bring up the Format Data Series Task Pane, as shown in Figure 3, below. Within this Task Pane, make sure that Fill & Line button is selected, as shown highlighted in red within Figure 3. Within this tab, select the Invert if negative check-box, as shown highlighted in blue within Figure 3.

  8. You can change the color fill of your negative figure column to something other than white. Our Changing Color for Negative Data Series within Charts in PowerPoint 2013 tutorial explains more.
  9. Save your presentation.
