Using Captions in Photo Album Presentations in PowerPoint 2013

We explored how you can create a new Photo Album presentation, and how you can edit existing Photo Album presentations by reordering pictures and changing the slide's picture layouts. Other than these options, PowerPoint also enables you to add captions for the pictures you add in a Photo Album presentation. Note that by default, the picture's file name is used as a caption, so if the original file name was "Winter Morning.jpg", the caption you see on your slide will be " Winter Morning". Unfortunately it is not possible to get such nice, descriptive names for all pictures -- these days most pictures are just subsequent numbers from a digital camera -- so a name like IMG06712.jpg is more common! You really don't want a caption like IMG06712 -- fortunately, PowerPoint 2013 lets you change captions too! Before we learn about editing captions, let us first show how you can enable them:

  1. Open your existing Photo Album presentation, and choose the Insert tab | Photo Album | Edit Photo Album option, as shown highlighted in red within Figure 1.

  2. The Edit Photo Album dialog box opens, as you see in Figure 2. You might (or might not) see that the Caption below ALL pictures check-box is grayed out (highlighted in red within Figure 2).

  3. The Caption below ALL pictures check-box works for all picture layouts other than the Fit to slide option (highlighted in blue within Figure 2, above). If your Photo Album presentation uses the Fit to slide option, you must first change the Picture layout to some other type.

  4. We chose the 1 picture layout option (highlighted in blue within Figure 3) and you can see that the Caption below ALL pictures check-box is now enabled. Select it by clicking on the check-box, highlighted in red within Figure 3.

  5. When done, click the Update button (highlighted in green within Figure 3 above).

  6. This adds a caption beneath the picture, as shown in Figure 4.

  7. By default, the file name of the photo is used as its caption (refer to Figure 4 above).

  8. These captions can be edited any time. Simply click in the text box containing the caption and type in your new caption, as shown in Figure 5.

  9. Save your Photo Album presentation.
